The Security Coordinator/Access Control Specialist is an essential member of a team responsible for the smooth and efficient operation of IAI's headquarters facility. The Receptionist is often the first impression of IAI for customers and visitors alike and is professional both in terms of behaviors and in appearance, greeting everyone with courtesy and a smile. The Receptionist supports customer and company meetings and activities as well as performs operations and security-related administrative tasking. The Receptionist position is non-exempt and reports to the Regional Security Manager. Duties and Responsibilities Responsible for visitor control for all headquarters visitors, greeting and checking-in customers, employees, applicants, vendors and guests in a professional, friendly and welcoming manner from 8:30 AM until 5:00 PM each business day. Facilitates incoming phone calls received from customers, employees and the general public, answering general questions and routing calls to appropriate staff. Maintains security by following security procedures, checking clearances, maintaining logbooks, issuing visitor badges and accepting deliveries. Assists in processing incoming and outgoing visit certs. Schedules the Conference Center, maintains conference room calendars, facilitates catering arrangements, and provides other administrative services and support for hosted meetings. Assembles weekly reports and prepares correspondence, reports, and other documents as directed. Performs a variety of administrative duties as required. Other duties may be assigned to meet business needs of the company. Attributes and Work Environment Excellent verbal, written and telephone communication skills. Strong organizational skills and ability to multitask. Demonstrated initiative and problem-solving abilities with the ability to resolve issues by using judgment that is consistent with company standards, practices, policies, procedures. Professional appearance and business decorum. Ability to work as a member of a team focused on providing above and beyond service and support to internal and external customers in a fast-paced office environment. Proficient using Microsoft Office suite, internet and email communications systems. SharePoint experience is preferred. Ability to maintain confidentiality of sensitive and company confidential information. Ability to effectively organize and prioritize work and meet deadlines. Behaves in a collaborative, professional and customer-focused manner. Dependable with the ability to work with minimum of supervision. Willingness to work additional hours on an as-requested and pre-scheduled basis in support of organizational objectives. The work environment is general office in nature and the successful candidate is expected to perform duties that require the employee to sit, stand, walk and operate standard office equipment. The candidate must have vision, speaking and hearing abilities that would enable them to be successful in the role. The candidate must occasionally lift and/or move up to 25 pounds. College degree preferred. One to two years' experience in an office or customer service environment. Security Requirements Active Top Secret clearance .
