Job DescriptionWe are looking for a Receptionist and Administrative Assistant to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. Duties also include providing support to our managers and employees, assisting in daily office needs, and managing general administrative activities.Overview Of Receptionist And Administrative Assistant Role:As a Receptionist and Administrative Assistant, you will be the first point of contact for our company. Duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Responsibilities also include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.The ideal candidate should have a pleasant personality, have excellent oral and written communication skills, and be able to organize their work using tools like Excel, Word, Outlook, and Powerpoint, as well as office equipment. Multitasking, stress management skills, and the ability to streamline processes are essential for this position. Responsibilities: Receive visitors at the front desk by greeting, welcoming, directing and announcing them appropriately Provide general support to visitors Answer, screen, and forward incoming phone calls Keep sales call logs to track customer interactions Log checks received at office from customers Ensure reception area is tidy and presentable Provide basic and accurate information in-person and via phone/email Receive, sort and distribute daily mail/deliveries Organize and schedule appointments Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports Maintain an accurate filing system Order office supplies and research new deals and suppliers Maintain contact lists Book travel arrangements Maintain office security by following safety procedures and controlling accessPerform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
