The Receptionist provides general office support with a variety of clerical activities and related tasks. This position will be responsible for answering incoming calls, directing calls to appropriate associates, greeting and providing assistance to office visitors, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
Principal Duties and Responsibilities:
Answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
Takes and retrieves messages for various personnel.
Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
Receives, sorts and forwards incoming mail. Maintains and routes publications.
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
Assists in the ordering, receiving, stocking and distribution of office supplies.
Assists with other related clerical duties such as mailing, copying, faxing, scanning, filing and collating.
Greets and directs visitors when entering the company.
Assists guests with internet access codes and provides assistance for company presentation equipment if required.
Orders food and beverage items for meetings and holiday gatherings as requested; conducts cleanup after.
Schedules and coordinates meeting rooms and appointments.
Maintains all conference rooms, including the refreshment supply and cleanup after meetings (i.e. clean white board, dispose of trash, arrange chairs, etc.).
Completes other requests of company executives as required.
Assists in organizing team building events.
Orders business cards for the staff.
Orders company merchandise such as shirts, jackets, bags, etc.
Distributes emails and memos from the building management offices to the staff as required.
Must attend the course, and receive/maintain Fire Warden status as required by the building management company.
Acts in a manner in all capacities in accordance with Code of Company Conduct and other YCI policies and procedures.
Acts in a manner in accordance with YCI outlined safety policies, procedures and practices.
